Data Backup Policy

These are Ovation's current policies that pertain to backing up Service Data and making it available to customers when the service is unavailable.
We mean to follow these policies and to update this document with any material changes to them but, except where the obligation is specifically incorporated into the Terms of Service, these policies are not contractual obligations. Furthermore, nothing here shall be interpreted to change those Terms of Service.
Service Data backups
Ovation keeps backups of your Service Data (as defined in the Terms of Service). This includes documents (both those that you upload and any patient result reports generated by the service) and “transactional” data such as the information in a requisition form. The mechanisms and details are different for these two types of Service Data:
Documents are stored in Amazon Web Service’s S3 service. Documents are never deleted – when you modify a document in the service, we create a new document (rather than modifying or replacing an existing document) – and documents are stored redundantly in no fewer than three geographically separated “availability zones” (link).
A copy of the transactional data is backed up every night. Each backup contains all of the transactional data, not just the incremental data created the previous day. These backups are retained for 30 days and destroyed after that. Ovation confirms backup validity by restoring them into a test instance of the application no less often than monthly.
Availability of Service Data during application unavailability
In the event that the service is effectively unavailable (as defined here) for 24 hours, Ovation will, on your request through an email to support@ovation.io, retrieve current Service Data as needed for your continuing operations on your behalf and provide it to you through separate and secure means. Ovation will complete this service within 24 hours of your request.
Downloading Service Data upon service termination
As described in the Terms of Service, it is your responsibility, upon terminating the service, to retrieve a copy of your Service Data. Ovation will grant you access to an application feature you can use to download the data. You have 30 days after subscription termination to retrieve your data, after which Ovation will delete it.
